Job Description

Graham Personnel Services is seeking a Referral Coordinator for a medical office in Greensboro.
The Referral Coordinator is responsible for receiving and reviewing medical records from referral sources, requesting additional records when needed, provides records to physician for rating review, collects additional information from the patient if needed, alerts schedulers of need for appointments and scans/indexes new patient information into the electronic chart. In addition to all referral coordinator duties, answers phones and provides back up to all positions within the medical records department.
Required Qualifications:
  • High School Education or greater.
  • Two (2) years medical records and/or front office experience required
  • One (1) year EMR experience required

Primary Duties: (Performed on a daily, weekly or monthly basis)
  • Answer phone as needed.
  • Review all incoming referrals for qualifying information required for physicians to make rating and request missing information when needed.
  • Provide physician with records for rating review as soon as records are available.
  • Register patient information.
  • Document flow of referral process so that all staff can identify where the information is in the scheduling process.
  • Schedule new patients as needed.
  • Manage Proficient Referral Que 
  • Work in coordination with clinical staff to ensure that all documentation is available for assistant and physician review well before scheduled appointment.
  • Scan and index all new patient documentation after physician review.
  • Pull old records from file or archived charts for anyone referred that has not been seen within the past 3 years. Scan records accordingly.
  • Accountable to consistently follow all HIPAA policies and procedures and demonstrate compliance both in and out of the office setting. Participate in all training and educational opportunities offered by the practice.
  • Demonstrate professionalism and personal accountability in all interactions with patients, physicians, co-workers and vendors during personal, electronic or telephonic communication. Exhibit teamwork by performing tasks or duties outside of ones’ assigned role.
Secondary Duties: (Performed occasionally or as needed)
  • Provide back up in all areas of Medical Records during absences.
  • File charts as needed.
  • Pull/prepare charts for patient visits as needed.
  • Assist in scheduling new patient.
  • Work in coordination with management to provide any reporting related to new patient referrals.
  • Other duties/projects as assigned.
