Office Administrator/Bookkeeper

Job PurposeA local healthcare software company in Greensboro, NC, is seeking a highly organized and detail-oriented Office Administrator/Bookkeeper to support daily office operations, assist leadership, and manage general administrative tasks. The ideal candidate will have strong administrative skills, experience with healthcare CRM systems, and basic bookkeeping knowledge.
Essential Functions:
Provide administrative support to ensure smooth office operations.
Assist leadership with tasks such as correspondence, filing, typing, copying, scanning, and managing office mail and shipments.
Answer phone calls, schedule meetings, greet visitors, and maintain professional communication.
Organize and coordinate company events, meetings, and catered lunches.
Manage electronic and physical filing systems, including customer contracts and NDAs.
Prepare and manage documents for signatures using DropBox Sign.
Order office supplies, anticipate needs, and manage invoices for the accounting team.
Perform light bookkeeping, including recording receipts, managing reports, and submitting purchase orders.
Coordinate office equipment maintenance and service with vendors or IT as needed.
Act as a liaison with building management and oversee office fob administration.
Maintain the company calendar, employee directory, and emergency contacts.
Coordinate shredding services and contribute to other related tasks as needed.
Knowledge and Skills:
Excellent organizational and time management skills.
Strong verbal and written communication abilities.
Proficient in Google Suite, MS Word, Excel, and PowerPoint.
Ability to learn and adapt to new technologies (CRM, email, calendars).
Basic bookkeeping or financial record-keeping experience preferred.
Ability to prioritize tasks efficiently and work independently.
Strong interpersonal skills, maintaining professionalism in all interactions.
Education and Qualifications:
High school diploma or equivalent required; BS/BA degree preferred.
2+ years of experience in an administrative role.
Experience with healthcare CRM systems strongly preferred.
Prior experience with basic bookkeeping or financial record-keeping strongly preferred.
Valid driver’s license required.
Working Conditions
Office environment with occasional travel to other locations.
Ability to operate office equipment such as computers, printers, and scanners.
Ability to occasionally lift up to 20 lbs.
Must be willing to meet company/vendor policy requirements (e.g., immunizations for flu, TB, COVID-19, etc.).
Hours: Monday-Friday, 9:00 AM - 5:00 PM
Pay: $20+/hour, based on experience
