Job Description
The Estimator is responsible for preparing accurate and detailed quotes, proposals, and contracts for clients while ensuring excellent communication with customers and vendors. This role involves using specialized software, maintaining customer records, and collaborating with internal and external stakeholders to deliver quality results. Responsibilities
Create and manage customer files, including setting up new customers in QuickBooks.
Pull project-specific plan pages and organize takeoff folders.
Import plans into software (e.g. PlanSwift) and prepare work papers for takeoffs.
Perform detailed takeoffs using PlanSwift (hardware) or RFMS (flooring), evaluating units, buildings, and amenities per project guidelines.
Input data into Excel Takeoff Sheets and maintain records in the customer file.
Generate accurate estimates in QuickBooks and prepare proposals and bid sheets for customers.
Send proposals to customers and handle revisions as needed.
Create and maintain project and estimate tracking tools (e.g., Smartsheet, Estimate Page).
Research previous jobs to inform project steps and pricing.
Identify new products and pricing options with vendors, and request special pricing as needed.
Build and maintain strong relationships with customers and vendors, including attending meetings and calls.
Follow up regularly with customers to ensure satisfaction and project progress.
Communicate professionally and consistently with all stakeholders.
Perform additional duties as requested by management or senior estimators.
Skills and Qualifications
High attention to detail and accuracy.
Ability to multi-task and meet deadlines.
Strong organizational and problem-solving skills.
Proficiency in PlanSwift (hardware) or RFMS (flooring) experience with one or both is highly preferred.
Familiarity with QuickBooks (currently in use) and Sage/Intacct (future implementation) is strongly desired.
Experience with takeoff procedures and estimating processes.
