Job Description

Graham Personnel Services is seeking an Administrative Specialist for a company in High Point. 
Temp to hire opportunity1st shift hoursPay rate is $19-23/hr DOE
Essential Tasks
  1. Greets, screens, and provides visitors with information or directs to appropriate persons. 
  2. Answers in-coming telephone calls, provides information, handles complaints and/or routes to appropriate personnel or communicates messages. 
  3. Opens and distributes mail, composes independently or from brief instruction letters, general correspondence and inter-office memos including confidential reports. 
  4. Operates standard office equipment including calculator, copier, Fax machine, personal computer, printer, and related software. 
  5. Orders and maintains inventory of office supplies, prepares requisitions, orders supplies and materials, processes payment for expenditures, and performs office related errands. 
  6. Oversees the maintenance of office files, including sorting, indexing, and filing materials alphabetically, numerically and by projects, subjects, personnel, forms, literature, etc. 
  7. Oversees and processes payment of department expenditures in accordance with established accounts payable policies and procedures. 
  8. Provides backup support for department payroll to ensure time for all staff was entered properly and reviews again before payroll is closed. 
  9. Types and edits a variety of complex documents, technical reports, spreadsheets, and correspondence. 
  10. Research, compiles, analyze reports and projects for presentation. 
  11. Assembles statistical and accounting data for the department/division budget, monitors budget expenditures and balances, proposes budget transfers for approval by the department head. 
  12. Makes travel arrangements, reservations and registrations for conferences and seminars, prepares travel expense forms through the budget office. 
  13. Sets up meetings and appointments as directed, schedules meeting locations and notifies meeting attendees. 
  14. Performs other clerical and administrative tasks as assigned, assists City Manager Office staff as needed.  
  15. Ensures that all work is performed in accordance with OSHA and City Safety Standards and Policies. 
  16. Other duties as assigned.

 Minimum Qualifications
  1. High School Diploma or GED equivalent with five (5) years of progressive office administration experience; Or associate degree or higher in Office Administration, Business Management, or a closely related field with at least three (3) years of progressively responsible experience in an office environment.
  2. Must be able to demonstrate excellent communication skills, typing skills of 50 wpm, Intermediate experience in Microsoft Office, and the ability to learn new software rapidly.
  3. Valid State of North Carolina driver’s license.

 Preferred Qualifications
  1. Possession of a NC Notary Public certification desired or the ability to obtain in 12 months.
  2. Knowledge of or experience in financial software and timekeeping systems.  
  3. Must be able to work with all types of people, have a friendly telephone personality and provide exceptional customer service.  
  4. Must have accuracy in data entry, good grammar, and good communication skills.
  5. Must have thorough knowledge of general office practices, procedures, equipment, business English, spelling, arithmetic, and office computer hardware/software uses.
