Graham Personnel Services is seeking an Administrative Assistant for a large distribution center in Browns Summit.
Temp to hire opportunity1st shift- 8am-5pmPay rate: $20-22/hr
As the first point of contact for employees and customers, the Administrative Assistant represents our company with professionalism, delivering friendly and efficient customer service. This role is integral in creating a warm and welcoming atmosphere for all visitors. The Receptionist acts as a "concierge" for the company, staying informed about important meetings, employee locations, and organizational events to ensure smooth communication and operations.Job Responsibilities: The main responsibility of the Receptionist is to deliver excellent customer service. Additional daily tasks include:
  • Visitor Management:
    • Meet and greet clients, customers, and guests entering the office.
    • Coordinate with warehouse staff for visitor tours or meetings.
    • Register visitors and issue visitor badges.
    • Notify appropriate personnel of visitor arrivals.
    • Ensure all visitors sign in and out.
  • Communication:
    • Respond to emails and inquiries promptly.
    • Answer and screen calls using Zoom when necessary.
    • Provide callers and visitors with information.
    • Maintain knowledge of staff movements in and out of the organization.
  • Security:
    • Monitor security cameras and report any suspicious activity.
    • Maintain a log of all incoming and outgoing personnel.
    • Monitor visitor access and maintain security awareness.
    • Know emergency exits and protocols and assist in emergency situations together with Safety team.
  • Administrative Support:
    • Handle incoming and outgoing mail and packages.
    • Schedule visitors in the calendar aligned with supervisors, managers and anyone else.
    • Manage the conference room schedule and be aware of Market Week schedules.
    • Maintain the appointment diary either manually or electronically.
    • Support Safety and Operations in administrative tasks as needed.
    • Assist in ordering, receiving, stocking, and distributing office supplies 
    • Accept deliveries and follow up as necessary.
    • Assist with special projects, events, and other work as required.
  • Customer Service:
    • Address any issues or concerns raised by visitors or employees.
    • Keep the reception area tidy and stocked, including refilling candies.
    • Ensure visitors with scheduled meetings or cold calls are directed appropriately and provided with necessary materials, such as vests.
Education and Qualifications:
  • 1-2+ years of experience in a similar role.
  • Proficient in Microsoft Office Suite.
  • High School Diploma, GED, or equivalent work experience.
  • Flexibility and ability to manage unforeseen issues.
  • Effective communication skills.
  • Ability to collaborate with others and be customer/client-focused.
  • Excellent written and verbal communication skills.
  • Strong organizational skills, with the ability to multitask and work under pressure.
  • Comfortable interacting with all levels of the company.
